FAQ
Reunion planning questions, answered.
What committees ask us most, from cost and timing to what happens on the night.
What does Rewind Reunions do?
Rewind Reunions is a full-service high school reunion planning company. We handle the venue, catering, entertainment, invitations, RSVPs and ticket payments, a custom website for your class, and the night-of timeline, so your committee can enjoy the reunion as guests instead of running it.
Where do you plan reunions?
Anywhere in the United States. We're based in Las Vegas, Nevada, and plan reunions for classes nationwide, working with venues and vendors in whatever city your class chooses.
How much does a reunion planner cost?
Most full-service reunions run a planning fee of about 15–20% of the total event budget, with a minimum flat fee for smaller events. The reunions we manage typically have total budgets between $10,000 and $75,000. We quote every reunion individually based on headcount, location and the services you choose.
Which package is right for our class?
The Full Rewind is our A-to-Z package: we plan and run everything. The Digital Rewind gives you a custom reunion website with RSVPs, ticket payments and email invitations, for committees that have the event side covered. The Logistics Rewind covers the venue, vendors and night-of coordination without the digital suite. Not sure? Tell us about your reunion and we'll recommend one.
How far in advance should we start planning a reunion?
Ideally 9–12 months before your target date. That leaves time to book a good venue and vendors and to reach classmates early. We've also pulled off beautiful reunions on shorter timelines, and the sooner you reach out, the more venue and date options you'll have.
What does our committee still need to do?
Very little. You tell us about your class and what a great night looks like, approve our proposal, pick a venue from our shortlist, sign off on the big choices and share the reunion website with classmates. We handle the research, bookings, contracts, payments, invitations, RSVPs and the night-of timeline.
What's included in a reunion website?
Every client gets a custom-branded reunion website with RSVPs and ticket payments, a class memory portal with photo uploads, a countdown to the big night and a post-event photo gallery. With The Digital Rewind we also run your email invitation campaigns, give you a live attendee dashboard and manage the site through your event date and for 60 days after.
Who collects the money?
Payments flow through a dedicated account in the reunion's own name, never a volunteer's. We help committees set up the right structure (an association agreement, an EIN, a bank account and online ticket payments) so ticket sales and vendor payments stay clean and transparent.
Watch the 2½-minute video guide →How do you get classmates to RSVP?
We make RSVPing effortless and keep reminding people: a reunion website with online RSVPs and ticket payments, save-the-dates and invitation emails followed by reminders, and a live dashboard so the committee can see who's coming. A good rule of thumb is that 20–40% of a class attends; early outreach and an easy RSVP process push turnout up.
Do you create custom music and tribute videos?
Yes. We produce original media in-house: an anthem written for your class, music for the night and In Memoriam tribute films that give every classmate you've lost their own bespoke scene, set to original music. It's available with any package, and you can see and hear examples on our Custom Media page.
Can you take over a reunion we've already started planning?
Yes. The Digital Rewind and The Logistics Rewind are built for committees that already have part of the plan in place, and we can pick up from wherever you are. Tell us what's done and what's left.
What happens on reunion night?
We run the timeline and coordinate vendors on-site so the night flows and your committee can be fully present. Afterward we publish the photo gallery, deliver video highlights and close out the budget with a clear final report.
